Event Photo Booth Rental Checklist for San Antonio Hosts

Booking an event photo booth rental in San Antonio? Follow a step-by-step checklist for space, power, load-in, timing, design and event-day handoff.

Quick answer

For an event photo booth rental in San Antonio, request a quote 4 to 8 weeks ahead, and earlier for March through June and October through December dates. For a 360 booth, confirm a level 10 x 10 ft spot with 10 ft of ceiling clearance and a standard 120V outlet within 25 feet. Get vendor load-in rules from your venue, send overlay assets at least 5 business days out, and name one event-day contact who relays schedule changes to the booth team.

Event photo booth rental in San Antonio goes smoothly when you make the key decisions in the right order: format, date, floor space, power, load-in, schedule, design and the event-day handoff. Work through the steps below from the week you start comparing quotes to the moment the booth team packs up, then share the finished plan with your venue contact, planner, DJ and booth team. The San Antonio photo booth planning page covers local booking details.

Your event photo booth rental timeline

  1. 4 to 8 weeks out: request a quote and hold your date. A3 Rentals recommends 4 to 8 weeks for most events and earlier for March through June and October through December, when weddings and quinceañeras fill weekends. For a peak-season quinceañera, 6 to 10 weeks is safer.
  2. 3 to 4 weeks out: confirm the booth spot on the floor plan, the outlet you will use and the venue's vendor load-in rules.
  3. 7 to 10 business days out: send logos, colors and design direction if you booked an animated overlay.
  4. 5 business days out: have brand assets in for a standard overlay and start reviewing the design proof.
  5. Final week: send the run of show, your event-day contact and any change to the room, timing or guest count.
  6. Event day: the team arrives early enough to finish the 45 to 60 minute setup and test everything before guests walk in.

Step 1: Pick the format before you ask for a quote

Your format drives the space, power and staffing plan, so settle it first.

  • 360 photo booth: guests step onto an LED-lit platform while a camera arm circles them and records a slow-motion clip. It works best as a destination where guests gather, and A3 staffs it with two operators. See the 360 photo booth rental details.
  • Roaming photo booth: an attendant carries a handheld ring light with a touch-screen tablet through the crowd. There is no platform and no dedicated footprint, which suits cocktail hours, mixers and open-floor receptions. See the roaming photo booth service.
  • Both: many hosts book the 360 booth as the main station and add roaming coverage for cocktail hour, so candid clips start before the platform opens.

If the choice is close, compare when a roaming photo booth works better than a fixed booth before you decide.

Set a budget range at the same time. A3's 360 packages are Essential at $595 for 2 hours, Premium at $895 for 3 hours and Elite at $1,195 for 4 hours, with extra 360 hours at $150 each. Roaming coverage is $495 for 2 hours, $645 for 3 hours at a social or private event, or $795 for 3 hours at a corporate or branded event. Every package and add-on is listed on the photo booth pricing page. Most events run well at 3 hours, while larger guest counts often benefit from 4 so no one misses a turn.

Step 2: Book the date and get the scope in writing

Send your date, start time, venue address, estimated guest count and event type. The details that make a quote accurate are laid out in what to include in a photo booth quote request, so focus here on what to confirm before you sign for your event photo booth rental.

  • The package name, the runtime and the guest-facing start and end times
  • Every add-on you asked for, such as a branded overlay, animated intro, backdrop, print service or lead capture
  • Any travel fee, which A3 confirms from your venue address before you book
  • Deposit, payment, cancellation and rescheduling terms, in writing
  • Any certificate of insurance your venue requires from vendors, so A3 can confirm what it can provide
  • The one person on your side who approves changes

Comparing more than one vendor? The questions that separate a dependable company from a risky one are in how to choose a photo booth company in San Antonio. Keep the signed scope with your other event documents so your planner can find it on the day.

Step 3: Measure the space for a 360 booth

A3's 360 booth needs at least 10 feet by 10 feet of clear, level floor and 10 feet of ceiling clearance. Measure the actual spot on the final floor plan, not the empty room. A corner that looks open during a walk-through can shrink fast once tables, a buffet, the DJ setup and decor go in.

  • Look up: check for chandeliers, low beams, ceiling fans or hanging decor above the platform.
  • Leave room beyond the 10 x 10 area for the line and for guests watching their clips.
  • Keep the line away from the entrance, the buffet and the bar so it does not block service.
  • For a busy event, plan stanchions to shape the line. Red carpet and stanchions are included in the Premium package.
  • Ask where the team can store equipment cases without using guest seating.
  • Review nearby lighting and reflective decorations with the booth team before you lock the spot.

Keep walkways open for every guest. The U.S. Department of Justice's ADA primer for businesses says an accessible route must be at least 3 feet wide and must not be blocked by items such as furniture or display racks. Ask your venue to check that the booth, the line and any equipment storage leave those routes clear.

Booking roaming coverage instead? You skip the footprint, but you still need a plan. Tell the attendant where to start, which rooms or areas matter most and which groups you want captured.

Step 4: Confirm power and the outdoor plan

The 360 booth runs on a standard 120V outlet within 25 feet of the platform. Ask your venue which outlet you can use, whether the DJ or caterer is counting on the same one, and how the cord will run so it stays out of the walkway.

Outdoor setups work when you have a flat, level surface, a covered or shaded area and power access. In a San Antonio summer, cover matters for guests and equipment alike. Pick a backup spot indoors or under a tent, and decide who makes the move call and by what time.

City parks have their own rules. The City of San Antonio Parks and Recreation reservation FAQ says pavilions need at least 2 days of advance notice and can be reserved up to a year ahead. Its rules for bringing items such as a moonbounce say the reservation holder may not connect to a City electrical outlet and must bring a generator, and that special setups need a Special Use Permit from the Park Reservation Office. Ask that office how a photo booth is treated before you plan on park power, then share the answer with A3 so the team can confirm the setup. The same FAQ requires security through Park Police, arranged at least two weeks ahead, for events with 75 or more people or amplified music.

Renting a city community center room? The FAQ says your reservation time includes setup, decorating and cleanup, and decorations cannot be attached to walls. Book the room long enough to cover the booth's 45 to 60 minute setup plus teardown, and make sure any backdrop stands on its own.

Step 5: Get vendor load-in instructions from your venue

Downtown San Antonio hotels and event halls often set load-in windows, vendor parking rules and elevator restrictions. Ask for them early and pass them along with your booking.

The Henry B. González Convention Center shows how specific these rules get. Its loading-dock procedures require everyone entering through the East or West loading docks to check in at the security booth, give privately owned vehicles a 20-minute pass to load or unload, and prohibit staging equipment in a fire lane or on the dock ramps without approval. If your event is there, have your event manager confirm the correct dock and where vendor vehicles go after unloading.

For any venue, collect these answers:

  1. The venue contact's name and event-day phone number
  2. The approved unloading location and the earliest arrival time
  3. Elevator, stair and door access between the dock and the room
  4. Where the vehicle parks after unloading
  5. Teardown timing and the exit route, which can differ from arrival
  6. Any vendor paperwork, such as a certificate of insurance, and its deadline

During Fiesta in April and other large citywide events, downtown traffic and parking slow down, so build extra time into the vendor schedule.

Step 6: Build the schedule around guest flow

Separate three times in your plan: when the team arrives, when the booth opens to guests and when it closes. A3's setup takes 45 to 60 minutes, and the team arrives early enough to test the platform, lighting and camera before the first guest steps on. Do not assume your event start time is the equipment arrival time.

Then open the booth when guests are free to use it:

  • Weddings: most A3 wedding clients book the booth for the reception, and some add roaming coverage for cocktail hour. Plan the couple's own booth visit away from toasts and the first dance. See wedding photo booth packages.
  • Quinceañeras: schedule around the grand entrance, the waltz and the court's formal moments, and plan a dedicated session for the quinceañera and her court. See quinceañera photo booth rentals.
  • Corporate events: keep the booth open during networking and breaks rather than competing with presentations. See corporate event photo booths.
  • Birthdays and graduations: a 2-hour window works well for smaller parties with steady guest flow. See birthday party photo booths.

Ask your DJ or emcee to announce the booth once it is ready, and again before it closes for a last call. Decide in advance if you would extend when the line is still going. An extra 360 hour is $150, and extra roaming hours are $150 per hour for social events or $175 for corporate events. Ask how overtime is handled on the night.

Step 7: Approve the design, music and sharing

Every 360 package includes a custom overlay with your name, date, colors or hashtag. Logo and brand overlays are add-ons: a standard branded overlay is $150, an animated intro or outro is $350 and a full branded package is $500. Roaming coverage can add a custom overlay for $100. Review the custom branding options if a company logo is involved.

  • Send brand assets and design direction at least 5 business days before the event, or 7 to 10 business days for animated packages.
  • Assign one approver for names, spelling, date, colors and logo files.
  • Check the proof on a phone screen, since that is where guests will watch and share.
  • Choose a track from A3's library or request a specific royalty-free song.
• Confirm sharing options and venue connectivity. Guests can share by text, email, AirDrop or QR code at the event.

After the event, you receive a full online gallery with every video within 48 hours.

Step 8: Run the event-day handoff

Give one person other than the host the final checklist and the authority to answer the booth team's questions.

  • At arrival: meet the team at the approved entrance and walk them to the spot.
  • Before opening: check the setup, the walkway, the overlay spelling and how guests will share.
  • During the event: relay timing changes from the planner or DJ through that one contact.
  • Before closing: line up any final group session, such as the wedding party or the court.
  • At teardown: confirm the exit route and the venue's load-out timing.

Afterward, open the gallery link and share it with your guests. For a company event, have your approver review clips before they go into marketing.
